Most wedding transport problems do not begin because nobody has a telephone number.

They begin because the right person does not have the right number at the right moment.

The bride's doli destination has changed, but the driver has an old map pin. Grandparents are ready to leave the reception early, but nobody remembers which chauffeur is assigned to their car. By the time the bride or groom becomes involved, what should have been a small coordination issue has turned into unnecessary wedding-day stress.

A simple wedding transport emergency contact sheet prevents many of these situations.

This does not need to be an elaborate document. One page saved on the phones of two or three responsible family members can be enough. It should show the principal vehicles, passengers, chauffeur or transport contacts, family coordinators, exact destinations and the people who need to be contacted if the normal transport schedule changes.

Calling it an emergency contact sheet can make it sound like a list of telephone numbers.

It should be more useful than that.

Next to each important contact, the family should know why that person is there.

One contact manages the groom's car.

Another represents the bride's side.

One family member handles grandparents.

One person manages NRI hotel guests.

The transport provider or chauffeur contact deals with the vehicle.

The Bride's Car Needs a Separate Family Contact

The bride and groom may be attending the same wedding.

Their transportation should still have separate coordination.

Children's Transport Should Also Have an Adult Owner

Families travelling with small children should know who is responsible for each child during vehicle transfers.

That does not require putting children's information all over the contact sheet.

Simply make the responsible adult clear.

If a child restraint is installed in one particular vehicle, the coordinator should also know that the child cannot casually be moved into another car simply because relatives change plans.

A fifteen-page wedding transport plan may be impressive.

Which passenger?

Do Not Store Unnecessary Sensitive Information

The contact sheet does not need passport numbers.

A passenger who needs specific mobility assistance may have that operational note communicated to the appropriate family member or chauffeur without turning the transport sheet into a repository of private information.

Simple documents are easier to use and easier to protect.

Reconfirm the Sheet the Evening Before the Wedding

The best time to discover an old venue pin is not when the groom has already left home.

The evening before the main wedding, the transport coordinator should review the final version.

Check the groom's reporting location.

Check the reception venue.

Check the doli destination.
